The secretary’s evening, made shorter
Volunteer secretaries of HOAs, nonprofits, school boards, church councils and clubs often spend an evening turning a two-hour recording into minutes. This tool does the first pass: it writes every minute of the meeting out, then drafts minutes from that transcript. The secretary still decides what goes in, checks the wording of motions, and presents the minutes for approval at the next meeting as usual.
Minutes become official when the board or committee approves them. Nothing here changes that, so do not circulate the draft as the approved record.
What the draft covers, and what it leaves to you
- Covered: title, summary, participants as labeled with role if clear from what they say, topics with timestamps, decisions, action items, open questions
- Left to you: quorum, call to order time, who moved and seconded, and vote counts, unless they were said clearly on the recording
- Exact motion wording: copy it from the transcript at the timestamp rather than from the summary
- Executive or closed sessions: stop the recording, or remove that part from the draft
Getting names right on a board
Speakers are labeled by number, and names appear only when someone says them. Board members often address each other by name or title, such as "Madam Chair" or "the treasurer", which helps, but check every attribution. Speaker numbers are assigned per ten-minute part, so the chair may be "Speaker 1" early on and "Speaker 4" later; use Find and replace on screen to set names before you download.
Recording tips for the next meeting
- Put the recorder or phone in the middle of the table, not at the chair’s seat
- For hybrid meetings, record the call itself so remote members are clear
- Ask members to say their name before making or seconding a motion
- If the recording was split into several files, upload them together in one job, in name order

No. They are a draft written by AI from the transcript, for the secretary to check, edit and present for approval.
Can ChatGPT write minutes from a 2-hour board meeting?
It can tidy up minutes from notes you paste. From a two-hour recording, the audio length limit and reply length tend to leave you with a partial transcript or a loose summary that misses decisions.
Does it record motions and votes?
If a motion and its result are said aloud, the decision appears with its time in the recording. Vote counts and movers appear only if they were said, so add them from your own notes.
What does a board meeting cost?

Who can see the recording?
Only the person who uploaded it. It is sent to an AI model provider only to be processed and is not used to train models. Jobs started without an account are deleted after 7 days.
