Deduplicate a contact list by email before a CRM import
Upload your contact list as CSV or Excel and get it back with one row per email address. Emails are compared in lowercase with spaces removed, so "[email protected]" and "[email protected] " are the same contact, and the first copy is kept. Names typed in capitals are tidied and company names written one way. Lists of up to 1,000 rows are free in full; bigger lists are $5, paid once.
- Duplicates found by the Email column; rows without an email are kept
- Emails lowercased and stripped of spaces in the result
- Names in ALL CAPS or all lowercase capitalized: "maria GARCIA" becomes "Maria Garcia"
- Company suffixes written one way: Inc., LLC, Ltd, GmbH
- Up to 200,000 rows for $5, with a list of every removed row
How to deduplicate contacts by email
-
1
Upload the list
Drop the CSV or Excel export. Email is already set as the column that defines a duplicate; add others, such as Phone, if you like.
-
2
Check the counts and first rows
See how many contacts were duplicates and how the cleaned names and emails look, before you pay.
-
3
Download and import
Download the cleaned list and the removed rows CSV, then import the list into your CRM or email tool.
Why the same contact appears twice
Contact lists collect duplicates from sign-up forms, event scans and merged exports. The usual culprits are small: an email typed with capitals, a trailing space, the same person entered once as "JOHN SMITH" and once as "John Smith". An import that matches on exact email creates a second record for each of them.
Here the Email column is cleaned first (spaces and invisible characters removed, lowercased) and then used as the key. The first row for each address stays where it was; every later one is removed and listed with the row it repeated, so you can check which version you kept. Rows with an empty email are never merged with each other.
Tidying names and companies
Columns named like Name, First name, Last name, Company or Contact are tidied by word: words written in ALL CAPS or all lowercase are capitalized (with McDonald, O'Brien and van der Berg handled), while names already written in mixed case, such as DeShawn, are kept as typed. In company columns, legal suffixes are written one way and short all-capital words such as IBM are treated as abbreviations.
If the same company appears under different names, such as "Intl Business Machines" and "IBM", tick the optional AI fix. The distinct names are then sent to an AI model, which writes one spelling per company and leaves names alone when unsure. Without that option, nothing leaves our server.
How the tool works, what it costs and how your files are handled is on the Clean a CSV page; prices for every tool are on the pricing page.

Questions and answers
How do I remove duplicate contacts by email?
Upload the list; Email is preset as the matching column. Emails are compared in lowercase without spaces, the first row per address is kept and the rest are listed in a removed rows CSV.
What happens to contacts without an email?
They are kept. Rows whose matching columns are empty are never treated as duplicates of each other.
Can it fix names typed in capitals?
Yes. Words in ALL CAPS or all lowercase in name columns are capitalized; names already in mixed case are left as they are.
Is my contact list sent anywhere?
Cleaning runs on our server and nothing is sent to an AI model unless you tick the AI name fix. Jobs uploaded without an account are deleted after 7 days.
How much does it cost?
Lists of up to 1,000 rows are free in full. Bigger lists, up to 200,000 rows, are $5, paid once.
